Present: Deanna Brown, Mary Cambridge, Diann Dupuis, Nancy Frye, Lindsey Hakala, Kayleigh Kavanagh, Stephanie Miner Absent: Gary Pritchard, Sandi Pritchard Other Attendees: Ted Davis, Emily Tchorz-Fielder, Maureen Casey I. Review of minutes: Lindsey Hakala, Secretary October 21, 2020 voting minutes reviewed and edited. Motion 2020-11-01: D. Brown made a motion to approve the minutes and addendum and M. Cambridge seconded it. Minutes approved unanimously. II. Treasurer’s Reports: Mary Cambridge, Treasurer a. October Reports Income: $2,082.68 Expenses: $1,925.69 Blue House Rental: $3200 Blue House Supervisors: $0 Preservation Commission Balance: $5,686.34 III. Reports: a. Chairman’s report: b. Commissioner’s report of activities, grounds review & participation: i. M. Cambridge has finished work restoring, mapping, and photographing all four of the historic cemeteries in Livonia. ii. Board Election Results: D. Brown 1. Chairperson: S. Miner 2. Vice-Chairperson: N. Frye 3. Treasurer: M. Cambridge 4. Secretary: L. Hakala Motion 2020-11-02: D. Dupuis made motion to approve the slate as it stands and K. Kavanagh seconded it. It was approved unanimously. c. Greenmead Supervisor: Emily Tchorz-Fielder i. Maintenance Update: 1. Shaw House siding complete 2. Greenhouse floor complete a. Final cost around $3,700 3. ABH siding repair complete 4. Shades installed in Kingsley and Shaw House first floors 5. Church handicap entrance door adjusted by Randy 6. Still awaiting Cedar Preservation Systems for minor roof repairs on ABH and DUR 7. Deposit check given to Artisan Renovations for North Barn doors repair 8. Carpet bids received. Independent One has ordered carpet for Hinbern. a. Final cost around $4,200, sample as presented in September ii. Future Maintenance Projects: 1. Remaining painting of Hill House first floor 2. Painting of the Hinbern 3. Installation of gutters-Kingsley, Shaw, ABH 4. Roofs on Kingsley and Bungalow 5. Find the water leak in the Hill sunroom and repair plaster (discussed with Randy) 6. Kingsley House basement windows (discussed with Randy) iii. Budget Status of the Trust Fund: IV. Review of Events & Planning for Future Events: a. Shadows from the Past, October 23: i. The date was moved due to weather. Overall, it was a success despite COVID and people generally did a good job keeping social distancing. ii. Best tip to learn for next year: Emily created a map to allow people to self-guide themselves. This worked really well, and we’d like to keep it in order to avoid relying on volunteers so much. b. Highland Tea, November 7: CANCELED c. Livonia Historical Society Speaker, November 16: CANCELED d. Fabulous Finds Sale, November 21: CANCELED e. Livonia Christmas Walk, December 5: CANCELED 2| Page f. Santa Stroll, December 5: 10 am to 2 p.m. i. Lights in Village, real reindeer, wagon rides, visits with Mr. & Mrs. Claus, crafts to go ii. Fitting with guidelines by greatly reducing number of people allowed. g. Christmas Tea, December 12: CANCELED h. 2021 Proposed Event Calendar i. Craft brew event in the barns – still in development, possibly in March but would prefer early fall 1. Hops growers come in and talk. Possibly include beer? ii. Event for “One City, One Book”: The book is Arc of Justice 1. We’re aiming to have something presented from Rochelle about Livonia’s role in the Underground Railroad 2. We can hopefully tie something into the walkthrough on July 25th V. New Business a. Greenmead Master Plan RFP: Ted Davis i. Last completed in 1977. ii. Proposal for consultant to provide: 1. Need to have an inventory of what items and buildings we have and their conditions 2. Need to include what the community wants/needs from Greenmead 3. Need to include goals of what to accomplish 4. Really push to include information from the community Motion 2020-11-03: N. Frye made a motion to send out an RFP in order to get a quote from consultants to create a master plan and K. Kavanagh seconded it. It was unanimously approved. b. Meeting schedule for 2021: thstth i. Voting meetings: February 17, April 21, June 16, September ththth 15, October 20, and November 17 ththth ii. Non-voting meetings: January 20, March 17, May 19, July stthth 21, August 18, and December 15 Motion 2020-11-04: N. Frye made a motion to set up voting meetings as outlined above and K. Kavanagh seconded it. It was unanimously approved. The next non-voting meeting will be Wednesday December 9, 2020: Vision/Mission Workshop Adjournment: N.
