Voting Meeting Minutes of
June 17, 2020
The voting meeting was called to order by Stephanie Miner via Zoom meeting at 6:37
PM.
Present: Deanna Brown, Carrie Budzinski, Mary Cambridge, Nancy Frye, Lindsey
Hakala, Barbara Mansfield, Stephanie Miner, Emily Tchorz-Fielder, Linda McCann
Absent: Gary Pritchard, Sandi Pritchard
I. Review & Approval of minutes: Lindsey Hakala, Secretary
February 19, 2020 voting minutes reviewed.
Motion 2020-06-01: B. Mansfield made a motion to approve the minutes
and D. Brown seconded it. Minutes approved unanimously.
Correspondences:
Received $5000 from Community Foundation in March
II. Treasurer’s Reports: Mary Cambridge, Treasurer
a. February Reports
Total Income: $5,174.05
Total Expenses: $1,127.23

III. Reports: Commissioner’s Reports of activities, building reviews, and
participation:
a. Chairman’s report: (Stephanie Miner)
i. Observed buildings from exterior this week; observed paint peeling
on many buildings. Hinbern ramp was being worked on.
b. Carrie Budzinski
i. Has been utilizing nature trails; all nature trails and community
gardens are looking good.
ii. Social media report:
1. Focus on reporting that the grounds are still open and trails
and gardens are usable.
2. Will check with Library to see if they would like to host Story
Time online at our location.
c. Mary Cambridge
i. Has been revitalizing cemeteries, specifically focusing on Newburg
Cemetery; put in 300 hours over the last three months. Is starting to
create informational booklet about families and their ancestry in the
cemetery.
d. Greenmead Supervisor Report: Emily Tchorz-Fielder
i. Maintenance Update:
1. Greenhouse
a. Paint issues; most likely due to grading & rain
splashing up; Linda will have a city engineer examine
it and propose a fix.
2. Blue House – outstanding work orders
a. Window trim on south side needs to be finished; one
exterior board has had a knot fall out; one roof vent
fell out, birds have been seen going through hole.
3. Hill House
a. Pest Control examined buildings earlier. Chipmunks
and evidence thereof were seen; five entry points and

they caused damage to some materials, including
books.
4. Church Window Repair
a. Windows are done and are waiting to get re-installed
5. Hinbern Handicap Ramp Repair
a. Was put on hold, is getting finished soon.
6. Boy Scout Projects
7. Additional Maintenance Needs
a. Preservation will allow us to put gutters on two
buildings. Waiting to get more information regarding
installation of round gutters before going forward.
ii. Rental Income to Date: (up to 3/16)
1. Church: $2975
2. Meeting House: $1410
iii. Budget Status of the Trust Fund: $271,196.17
IV. Review of Events & Planning for Future Events:
a. Happily Ever After, March 26: CANCELLED

k. Review of the Remainder of 2020 Scheduled Events and Current/Potential
Cancellations
i. Highland Games is cancelled, now just a picnic for core members &
their families
ii. Fall Flea Market: Motion 2020-06-02 B. Mansfield made a motion
and M. Cambridge seconded to cancel the Fall Flea Market due to
COVID safety restrictions. It was unanimously approved.
iii. Waiting to decide for October and later activities to cancel or keep
V. Additional Business & Action Items:
a. 2020 Tours:
i. Evaluate whether or not to have guided tours that are scheduled
throughout the summer. Motion 2020-06-03: N. Frye made a

motion and B. Mansfield seconded to cancel all guided tours
through September and to reevaluate October tours at a later date.
It was unanimously approved.
ii. Another way to get interaction: create a book giveaway through
Facebook. Carrie is knowledgeable in how to set these up and run
them. Motion 2020-06-04: B. Mansfield made a motion and N. Frye
seconded to give away one book (The Kingsley House by Arliss
Ryan) each month for June, July, August, and September. It was
unanimously approved.
b. Commissioner on Duty Schedule
i. This item was postponed as it is no longer urgently required.
c. Increase hourly rate given to those who host special events at Blue House
and Church. It has not been increased for ten years. Motion 2020-06-05:
C. Budzinski made a motion and N. Frye seconded it to increase the
hourly rate from $10 an hour to $12 an hour. It was unanimously
approved.
d. Updates to the Greenmead website: the Resource Tab has gone live this
week after many hours of work. Livonia Newspapers are now available for
indexing going back to the 1940s.
e. Where Do We Go From Here?
i. Options for meetings: outside at Greenmead, online through Zoom
ii. We need to have another voting meeting this year since one was
missed due to the COVID-19 outbreak.
The next non-voting meeting will be Wednesday, July 15, 2020.

Adjournment: Motion 2020-06-06: B. Mansfield made the motion and C. Budzinski
seconded it to adjourn the meeting. Approved unanimously and the meeting was
adjourned at 8:02 PM.
