Minutes of the September 19, 2018
Voting Meeting
The meeting was called to order on September 19, 2018 at Meeting House at 6:30 p.m.
Present: Deanna Brown, Mary Cambridge, Nancy Frye, Barbara Mansfield, Gary
Pritchard, Sandi Pritchard, Patty Trojan
Other Attendees: Emily Tchorz

I. Review of minutes: Patty Trojan, Secretary
a. August 15, 2018 Voting meeting minutes reviewed
9/01 Motion to approve as corrected by Mary Cambridge, seconded by
Sandi Pritchard. All in favor. Motion approved.
II. Treasurer’s Reports: Mary Cambridge, Treasurer
Mary Cambridge presented August Report
Hill House Rental ($75.00) Hinbern Sales ($524.57), Church Rentals ($900.00),
Meeting House Rentals ($120.00), Donations ($392.78), Tours ($51.00)
Expenses Supervisors and Office Staff ($1,130.00), Meeting House Supervisors
($45.00)
1) A suggestion of not doing Pancake Breakfast. We will table this decision
until first voting meeting of 2019.
III. Reports:
a. Chairman’s report: No report this month
b. Commissioner’s report:
Nancy Frye helped with set up in Meeting House for Flea Market
and worked Corn Roast.
Barbara Mansfield reported Flea Market went well and that the
probationers were a big help with set up and tear down of meeting
house. She also reported 9/16 no one toured buildings
Patty Trojan reported she did Bridal Show in August in Novi and
also the Corn Roast on Sunday 9/16. I think if we continue to do a
bridal show the Novi be the one we do. Also depending on
availability, we might not have a table for corn roast. Very slow this
year. Also worked the Flea Market at gate.
Deanna Brown reported she worked hot dog booth, had enough hot
dogs this time, went through coffee due to rain and cold.
Sandi Pritchard worked at flea market.
Mary Cambridge has been out every day for 3-4 hours cleaning
buildings and also worked at flea market, and has been working at
home on jewelry pricing for next sale.
c. Greenmead Supervisor: Emily Tchorz
i: Maintenance Update:
Cedar roof on Church peak strip needs replacing estimated $500.
Regrading of ground around meeting house has been done also
added dirt around Lean-To.
City equipment has been moved out except for a few pieces that
are used in Community Garden.
Waiting on a few quotes from a handy man for some small projects.
A new furnace is being purchased for Newburg school house with a
few options such as a/c which can be added in future.

Caretaker basement waterproofing will be done October 1.
The handicap ramp was completed on Blue House.
In spring, DPW will get some new trees planted around from tree
program.
Still waiting on quote for shades to go in Hinbern and Bungalow.
Church carpet order has been submitted. Maureen will coordinate
install around rentals and usage of building.
The copula on Nankin Mills Schoolhouse should be done by end of
month.
Greenhouse draft should be done soon to send on to MITN.
Signs have shipped, on way to us from Ontario.

1. Church: $9,060.00
2. Meeting House: $4,040.00
City Funds available till 11/30: $2,926.45
09/02 A motion to allocate the use of funds for T-Shirts for
Volunteers, Friends Recognition Luncheon, Volunteer Gifts, Hot Dog
Cooker, also to get Victorian Settee in the Blue House reupholstered
(Mary Cambridge will get a quote for next meeting) by Barbara
Mansfield seconded by Deanna Brown. All in Favor. Motion
approved.

iii: Tours on Sunday October 7, we need a Commissioner, Nancy
checking with Preservation. 9/24 update Kathy Glynn is going to do
and is checking to see if Cindy Immonen can also do to show her the
process.
Budget Status of the Trust Fund: Spendable amount $147,784.58
Restoration Account has $55,981.49 Greenhouse is in this account
Suggestion to do a review at end of the year.
IV. Review of Events & Planning for Future Events:
a. AMC Car Show went well.
b. Historical Society Picnic: Good Time, Good Food
c. Fall Flea Market:
1. Hot Dog Sales went well, very cold and rainy, went through a
lot of coffee
2. Meeting House Sales: $1,519.01
d. Livonia Historical Society Speaker: Susan Nenadic “Women of West.”
Next Speaker will be Bob Hardies.
e. Guns n’ Gowns & Civil War Tea this weekend 9/22-9/23. Tea is sold out.
Patty Trojan will post schedule on Facebook page.

f. Shadows from the Past Halloween Event: October 26 ticket sales have
started, need help decorating the building, if you can assist please let
office know.
g. Friends Luncheon being held 9/25 12:30-2 p.m.

h. New Volunteer Orientation being held Tuesday, October 9 6:30-8 p.m.
V. Additional Business & Action Items:
a. November Elections: Coming along, Slate will be available next meeting
for vote in November
b. Need to make sure we have Elected board position definitions available
for all.
c. Make sure you are putting in your hours with Stephanie or filling out report
online.
d. Bridal Shows: We did three this year. Novi one seemed to be the best one
for us. Suggestion we do this one if we are going to do one again.
e. Corn Roast: Seemed very quiet this year to us. We talked to a few people
who were interested in volunteering and gave out flyers for upcoming
events. Talked to a few about rental of buildings. Discuss early next year
whether to attend.
f. Suggestion to be thinking about events for 2019 and any spending ideas
for funds we have.
The next official, Non-Voting meeting will be Wednesday October 17, 2018.
Adjournment: The meeting was adjourned with motion from Barbara Mansfield
seconded by Sandi Pritchard @ 8:25 p.m.
